Describe what you observed
Provide the building, room, exact concern and time observed. Explain whether the area was used after the scheduled service. ‘The second-floor break-room bin was still full at opening’ gives the team a clearer starting point than ‘nothing was cleaned.’ Keep the report factual.
Share relevant evidence carefully
If a photo helps, frame only the condition being reported. Keep people, personal belongings and confidential records out of the image. Do not enter a restricted room to gather evidence. A short description can be enough when photography is inappropriate.
Use the agreed contact
Send the concern to the manager or service contact named in the agreement. For an urgent spill or access hazard, use the property's incident process. Give the provider an opportunity to verify the work record and explain access problems without losing sight of the required correction.
Confirm the outcome
Ask for the correction and any next step to prevent recurrence. If the issue repeats, review the task frequency, access and inspection process together. Update the scope when expectations have changed. A documented resolution is more useful than forwarding the same complaint to an expanding list of people.
